[J3] (SC22WG5.6251) 2022 WG5 meeting

Some interesting observations in this thread so far. Additional comments:

- J3, not to mention WG5, has outgrown the single (small) conference
room we have been getting for free at hotels. Those of you who were at
the February 2020 meeting know how cramped it was, and that was JUST J3.
Adding in the usual WG5 members would be supremely unworkable.

- INCITS has made it VERY clear to Dan and to me that our history of
using members hotel rooms for subgroups, due to lack of breakout rooms
at J3 hotels, must stop. For all our meetings, not just WG5, we need a
large room for plenary and three or even four additional meeting rooms
for subgroups.

- We also need communication equipment - speakerphones, and ideally, a
projector.

- For the above reasons, any offer offer of a meeting host needs to be
able to provide these facilities. This means a vendor or a large user
organization.

- I noted Bryce's suggestion that NVidia might be willing to pay
expenses for non-employee members. That's generous, but is very likely
unworkable due to ethics rules. On the other hand, a grant towards
general meeting expenses (meeting rooms, etc.) from any vendor(s) would
be welcomed - neither J3 nor WG5 has any budget outside of the meeting
fees J3 collects, and those are probably insufficient for this purpose.

- J3 can't continue to meet with what the hotel provides for free - we
need funding to rent additional rooms/equipment or to have these donated
to us. WG5 meetings have generally been hosted by an organization that
provides what we need, so that's less of an issue. We do need to find a
solution for the non-joint J3 meetings, which might well mean being
hosted by an organization.

- I agree with Bill that there's nothing particularly wrong with Vegas
for J3 meetings, not withstanding our historical lack of breakout rooms.
It's not expensive, there are convenient flights from most everywhere,
and our off-strip locations are trouble-free. In the 12 years I have
been attending J3 meetings in Vegas, I haven't known any of the
attendees to spend time gambling, drinking, or indulging in other vices.
But if we are going to continue there, we must find a solution to the
lack of breakout rooms.

- I appreciate the offers from Dan and Brian to host WG5 in 2022 - both
of those are excellent locations, but I was hoping to see an offer from
someone who had not hosted as recently as Dan (2016) or Brian (2018).
But if not, either one of those is fine with me.

Steve
